A Shopify B2B draft should name the right company and the right company location, because that is where pricing, payment terms, and the ship-to live. When the purchase order arrives as a PDF or an email, match that buyer before you convert, and review any line the file did not settle. The wider draft workflow is draft orders for emailed purchase orders.
Why company and location matter
On Shopify Plus B2B, a company can have several locations. Each location can carry its own shipping address and, in Shopify’s B2B model, its own terms. A draft on the wrong location invoices the wrong place and ships the wrong dock. Ops feel this as a dropdown mistake. Finance feels it as a dispute.
Wholesale drafts exist without Plus. Companies and locations are the Plus-oriented structure. POinbox is useful in both cases: a customer match when that is all you have, and a company plus location match when those records exist.
The manual selection problem
Staff pick the company under time pressure, then pick a location from a list that all starts with the same brand name. “North warehouse” and “North billing” sit next to each other. The PDF header had the answer. The dropdown did not read it.
What the PO file already says
Buyer POs name the purchasing entity, a bill-to, and a ship-to. Those three are not always one Shopify customer. A parent company with four locations will send four different headers that look similar in an inbox search. The file is the source. The dropdown is the translation.
How the file gets in: emailed purchase orders and PDF to draft.
How POinbox addresses this
POinbox matches Shopify customers, B2B companies, and company locations. That match is proposed before the draft is created. When the header names a buyer who is not in Shopify yet, create the customer or the B2B company from the review screen. The name and address on the PO become the new record, and a new company starts with a location from that address. You still review. An ambiguous location stays a flag for a person. POinbox does not silently resolve two similar locations.
POinbox starts free (5 successful drafts). Paid plans from $29/mo. What it matches, and what you still have to confirm, is on the product page.
A note on catalog pricing
POinbox applies Shopify catalog pricing and flags differences against the PO. It does not select Shopify Plus B2B price lists by name. LevelOps’ materials do name those lists. That difference is on POinbox vs LevelOps.
After the company is right
- Lines: match SKUs.
- Prices: price flags.
- Their number: PO number.
- Then Shopify: convert the draft.
One company, four locations, one sloppy PDF
Northwind Supply is a company. It has a billing location and three docks. The PDF header says “Northwind, Reno.” Your location list has “Reno DC” and “Reno returns.” A contact named Alex at Northwind is also on the email. If the draft attaches to Alex’s customer record and skips the company, terms and ship-to are whatever Alex’s profile says, which may be the office, not the dock.
POinbox is supposed to propose the company and the location from the PO, then wait for review. You confirm Reno DC, not Reno returns. If both locations look equally likely, do not let a guess through. POinbox does not break that tie. A person who knows the account does.
Price lists make this sharper on Plus. A location can carry terms that the public catalog does not. POinbox says it uses Shopify catalog pricing and flags PO differences. It does not say it selects a named Plus B2B price list. If that named list is the whole point of your B2B setup, confirm the behavior on a draft before you trust a season of orders. LevelOps’ materials name those price lists. That comparison is POinbox vs LevelOps, not a feature you should assume here.
What to put in the staff note
Tell the person entering orders: company first, location second, lines third. Fixing a location after twenty lines is how the wrong warehouse gets the file. When sales forwards the thread, the buyer on the order is the original sender. The PDF header is still the ship-to. And tell them matching is not approval. The draft is created after they have looked, not when the app feels confident.
Wholesale drafts when you are not on Plus
Wholesale drafts work without company locations. The customer on the draft carries the ship-to, and you can create that customer from the review screen the first time their PO arrives. When the store uses companies, creating the company from that same screen starts the location from the address on the file. Shopify is where those records live after that.
If you are about to turn Plus B2B on, enter companies and locations before you judge the matcher. A test against an empty company list will “fail” because there is nothing to match. That is a setup miss, not a file-reading miss.
