How to Automate B2B Order Entry on Shopify (Without Retyping POs)

Automate the typing. Keep a person on the exceptions. Lights-out is how wrong variants ship.

Automating B2B order entry on Shopify usually means stopping the retype of emailed or PDF purchase orders into draft orders. Practical automation reads the PO, matches the customer and catalog lines, flags uncertain matches and price differences, and opens a draft for review. People approve exceptions. They do not key every SKU. That is the job.

What “order entry” means in wholesale Shopify

It means the draft. Phone, email, and purchase-order sales do not arrive as checkout events, so someone has to turn the document into Orders → Drafts. More POs means more of that sitting. Draft orders for B2B explains what that draft is for. Here, the point is to stop retyping it.

What you can automate, and what you should not

Automate: reading the file, matching a known customer or company, attaching confident SKUs, applying catalog prices, and lining up a draft.

Keep a human: uncertain SKUs, price exceptions, credit, and anything that changes payment terms. A flag is the product. Skipping the flag is how you automate a mistake.

POinbox reads a scan or a photo, takes mail at the address in Settings, and saves a confirmed buyer code for next time. Uncertain lines still wait for a person.

The short stack

Manual drafts, CSV import, a PDF/email app, a portal, EDI. The full criteria are on ways to process customer purchase orders. Automation starts with the path your buyers already use. If they email PDFs, start there. If they send clean CSVs, automate the import you already trust.

The POinbox loop

  1. Forward the customer PO to the address in Settings, or upload it (PDF, email, Excel, CSV, or Word).
  2. Match Shopify customers, B2B companies, and company locations.
  3. Map lines and customer-specific SKUs. SKU matching.
  4. Apply catalog pricing and flag differences. Price flags.
  5. Review, then create the draft. Convert later in Shopify.

The file steps are in the PDF guide and the email guide. POinbox starts free (5 successful drafts); paid plans from $29/mo. The first test is one purchase order you already understand. The product description is on the POinbox page.

Zapier can move a row between apps. It is a brittle place to parse an unstructured PDF and match a Shopify catalog. Use it for notifications. Use a PO app for the draft.

How to tell it worked

Count minutes per PO for a week before and after, on the same kind of file. Count wrong variants and price overrides you catch. Watch the backlog the Monday after a show. Those are the numbers that belong to your store. This page will not publish a fake ROI percentage.

What that retyping costs in time, without a made-up dollar figure, is in manual wholesale order entry.

What changes on the person’s desk

Before: the PDF and the draft are both the job. The person reads a line, searches a variant, types a quantity, glances at a price, and repeats. Interruptions are fatal because the place in the PDF is only in their head.

After, if the loop is honest: the person opens a review of flags. Known lines are already proposed. They spend time on the buyer code nobody has seen, the ship-to that could be two locations, and the price that is off by a dollar. They create the draft. They do not retype the twenty lines that were obvious. That is automation.

Measure it on your files. Time ten POs by hand. Time the next ten with the app, including the flag review. If the second ten are not shorter, the app is not earning its place, free or not. This page will not publish a percentage you can paste into a slide. Your ten POs are the study.

What people automate too early

Auto-creating the order with no review. Accepting the PDF price because it was “what the customer asked.” Forcing every buyer onto a portal before the email path works. Starting an EDI project because a blog said wholesale should be electronic. Each of those skips the judgment wholesale still needs. EDI versus emailed PDFs and portals versus email are the longer versions.

Zapier can tell Slack that an email arrived. It should not be the system that decides which variant a fuzzy title meant. When that zap is wrong, the order looks like Shopify’s fault. Keep notifications in the automation tool. Keep catalog matching in a PO app, and keep a person on the flag.

Roll it out on one account, then the inbox

Pick the buyer who sends the messiest PDF you still understand. Enter one of their POs by hand so you have the answer. Run the same file through POinbox. Compare company, location, variants, quantities, and prices. Fix the flags. Create the draft. Do not turn the rest of the inbox over until that one account looks boring.

The second week, add the buyers whose codes you already know. A Word file, a photo, and an email that is only a body go through the same loop. Confirm a code once and that buyer’s next PO starts from the match you already made.

Tell the team the win condition in their language: fewer lines typed, same person still responsible for the weird ones. If they hear “the app enters orders,” they will stop looking at flags. That is the failure mode, and it is a training problem as much as a product problem. What that retyping costs in time, without a made-up dollar figure, is in manual wholesale order entry.

The list a person still owns

Credit holds. A buyer who is allowed to order a substitute. A price exception sales promised on a call. A location that the PDF abbreviated. Those stay on a person after the file is read. If your automation pitch deletes that list, you have described a different product than POinbox. The install is for the lines that were only typing.

Questions

Is this fully hands-off?
No. The promise is review of flags, not an order that appears with nobody looking.
Can Zapier do this instead?
It can notify you. Parsing unstructured PDFs and matching catalog variants is a poor zap. You will maintain the zap every time a buyer changes their layout.
Is Shopify Plus required?
Companies and locations are most useful on Plus B2B. Draft-based wholesale entry exists without Plus. POinbox is not a Plus-only product.
