Client intake forms to Airtable

Agencies and freelancers collect project briefs on WordPress, then retype them into an Airtable delivery tracker. That gap is where kickoff details disappear.

Airtable already works for delivery boards. The missing piece is a reliable handoff from the public intake form to a new row.

What intake must capture

  • Client and company contacts
  • Project type, budget range, and timeline
  • Goals, assets, and brand links
  • File uploads such as briefs and brand kits

Implementation

Step 1
Mirror the kickoff checklist

Use the columns the delivery team already works from. Don’t invent a second schema.

Step 2
Connect the intake form

Map it with Integration for Airtable. Select a table, or click Create new table and create columns from the form fields; use Create new column in the mapper when needed. Each submit creates one new Airtable record. Choose Immediate or Background send so Airtable latency stays off the thank-you page when you need it.

Step 3
Match select options

Airtable single-select and multi-select options should match the form choices, including spelling.

Step 4
Default Stage to Intake received

The board should show a new brief without a manual status edit.

Use Sync History when a client says it vanished

“I submitted but you never got it” is a log question, not a memory question.
