Connect WordPress to Airtable without Zapier

Skip Zapier when the job is only WordPress ↔ Airtable. A direct plugin is usually faster to set up and easier to run.

This is for teams dropping middleware, or skipping it from day one. When the job is WordPress forms and Airtable content, Integration for Airtable is usually faster to set up and easier to run than Zapier. You work in wp-admin, see Sync History next to your forms, and pay a flat price.

Without Zapier you still need Airtable credentials (OAuth or a Personal Access Token). You’re removing the middle automation layer, not Airtable itself.

Bottom line

Skip Zapier for WordPress ↔ Airtable. Run that path in Integration for Airtable instead.

Keep Zapier when Slack, CRM, or other apps have to share the same flow.

Two directions you can run natively

Supported builders: WPForms, Gravity Forms, Contact Form 7, Ninja Forms, Fluent Forms, Formidable Forms, Elementor Pro Forms.

Step 1
Connect with Airtable

One-click secure OAuth via Connect with Airtable, or an optional Personal Access Token.

Step 2
Add a form connection

Pick the base and table, or use Create new table / Create new column when you need them.

Step 3
Map fields

Text, dates, numbers, checkboxes (multi → Multiple select; single → Checkbox), and selects.

Step 4
Choose delivery and confirm

Immediate or background delivery (no Zapier polling delay), then check Sync History. Each submission creates a new Airtable record. Pro can send file uploads as Airtable attachments (résumés, intake docs).

Use cases: leads, client intake, job applications, event registration, support and RFQs.

Airtable → WordPress

Import into posts, pages, users, categories, and tags. Pro adds custom post types, custom taxonomies, ACF/meta, featured images, ACF image/file/gallery fields, and user avatars.

Base, table, optional view, Filter records, or Advanced formula.

Map columns and matching

ID map; optional match by slug, email, or username so re-imports update instead of duplicating.

Step 4
Run or schedule

Import now (Dry run first if you want a preview), then enable a schedule once the mapping is trusted. Pro can sync from every 15 minutes and, on full-table imports, send posts to Trash (users and terms are removed) when their Airtable row leaves the table. With a view or Filter records, map Status so closed rows update instead.

Use cases: editorial calendars, directories, job boards, team bios, member and user lists.

Switching from Zapier or Make

  1. Inventory Zaps or scenarios that only touch WordPress ↔ Airtable. Leave multi-app Zaps alone for now.
  2. Install Integration for Airtable.
  3. Recreate mappings in the plugin. Don’t assume identical field names.
  4. Test on staging if you can: direct plugins work on staging and local more easily than webhook Zaps.
  5. Run parallel briefly: plugin live, Zap paused after successful tests.
  6. Watch Sync History for a few real submissions and one import run.
  7. Delete or archive the old Zap when confident.
Gravity Forms note

Gravity Forms has no native Airtable feed. Many sites used Elite Webhooks → Zapier. The plugin maps Gravity Forms directly. Elite is not required for the Airtable path. See Gravity Forms without Elite.

When you should still use Zapier

Keep middleware if you need Slack, HubSpot, Sheets, SMS, or other apps in the same workflow. A WordPress↔Airtable plugin replaces that segment; it does not replace a company-wide automation platform.

Checklist: you’re ready to go direct

  • Forms that must land in Airtable are on a supported builder
  • You can create an Airtable PAT or use OAuth with the right scopes
  • You know which base, table, and view is the source of truth for imports
  • Someone will monitor Sync History the first week
  • Multi-app steps, if any, have a plan: plugin or remaining Zaps
