Airtable already works for delivery boards. The missing piece is a reliable handoff from the public intake form to a new row.
What intake must capture
- Client and company contacts
- Project type, budget range, and timeline
- Goals, assets, and brand links
- File uploads such as briefs and brand kits
- Internal fields: project owner, stage, and priority
Broken handoffs look like this
The form did its job. Nobody owns the next step.
Timeline and budget are already stale by the kickoff.
Fields get shortened, reordered, or skipped.
The delivery row has no brief attached.
The questions were on the form. They never made the tracker.
Design intake for operators
| Form UX | Ops need |
|---|---|
| Long multi-page brief | Sections map to Airtable field groups |
| Conditional Website vs Brand paths | Empty fields are fine. Don’t block sync |
| File upload | Attachment field on Pro |
| Thank-you copy | The record still syncs if you queue background delivery |
Implementation
Use the columns the delivery team already works from. Don’t invent a second schema.
Map it with Integration for Airtable. Select a table, or click Create new table and create columns from the form fields; use Create new column in the mapper when needed. Each submit creates one new Airtable record. Choose Immediate or Background send so Airtable latency stays off the thank-you page when you need it.
Airtable single-select and multi-select options should match the form choices, including spelling.
The board should show a new brief without a manual status edit.
“I submitted but you never got it” is a log question, not a memory question.
Free covers a single form and 300 syncs a month. Pro ($99/year) unlocks unlimited forms (sales, onboarding, and change requests), plus file attachments and priority support.
Pair with a CRM-lite base
Use one base with Leads and Projects tables, or a Status that graduates a lead into delivery. WordPress stays the public intake surface. Airtable stays the operating system. The lead-capture shape is the same as WordPress lead forms to an Airtable CRM.

Take intake off the retype list
Map the next brief instead of pasting the notification email. When Sync History is green on a real client submission, stop retyping that form.
